Before you paste that into ChatGPT
The useful paste is usually the whole thread. The personal details are along for the ride.
You needed a shorter reply, so you pasted the email. That is a normal way to use ChatGPT. The trouble is that an email is rarely just the question. It has a name in the greeting, a phone number under the logo, and sometimes a customer copied in from the line above.
None of that was the part you wanted help with. It was still on the clipboard.
Paste less of the thread
Take the sentence that is actually stuck. If the task needs a person, “the client” or “my manager” is often enough. Delete the signature block. If a link looks long and private, leave it out.
You can do this in half a minute, and the answer is usually just as good. The model does not need someone’s real inbox to help you sound clearer.
What tends to ride along
- A name in “Hi Ana” or in the sign-off.
- An email address in the thread or the signature.
- A phone number added “just in case”.
- A customer, a patient, a student, or a colleague who was not the task.
Whatever the tool’s policy is this month, once the text is in the chat you do not control that copy. The easier moment to decide is before send.
